Client Overview

  • Organisation: Tadcaster Grammar School
  • Sector: Secondary Education and Sixth Form
  • Location : Tadcaster, North Yorkshire
  • Environment: Sixth Form Centre self-serve student and staff refreshment area

The Challenge

Sixth Form students increasingly expected a coffee often closer to the standard they see on the high
street. As older students gain access to cars, the school wanted to provide a credible on-site alternative
that made it more attractive to stay within the Sixth Form Centre during the day.

The replacement also needed to work independently of canteen opening hours, provide the right
capacity for the site and avoid creating a staffing requirement. Just as importantly, it needed to look like
a proper coffee facility rather than simply another machine on a worktop.

Procurement Requirements

  • High street-style coffee quality for students and staff
  • Self-serve access independent of canteen opening times
  • Appropriate machine capacity without unnecessary cost
  • No requirement for a member of staff to serve drinks
  • Straightforward cleaning routine, taking around 15 minutes
  • A professional, permanent-looking coffee area for the Sixth Form Centre
  • A bespoke branded cabinet rather than standard furniture
  • Practical storage for machine consumables
  • Clear cost-per-cup information to support internal budgeting

Why Livewell Was Selected

The School already worked with Livewell for its previous coffee machine, giving Livewell a clear understanding of the site and the practical requirements for the replacement. The proposal came within a few pence of the available budget and included a transparent cost per cup breakdown, allowing the school to assess the offer clearly.

The selected solution provided the right balance of capacity, visual impact and practical layout, while the bespoke branded cabinet helped create the type of dedicated coffee facility the school wanted for its Sixth Form Centre.

Staff Outcomes and Feedback

“Our students expect high-street standards like Starbucks and Costa. If we don’t provide it, those with driving licenses simply leave the site. Livewell delivered a premium, branded 24/7 self-serve facility that keeps students on campus. They hit our budget within a couple of pence and provided a transparent cost-per-cup breakdown that was incredibly helpful for our financial planning. The bespoke cabinet completely eliminated clutter, transformed the space into a permanent social hub, and has been highly appreciated by students, staff, and even our Governors”. – Irv Webb, School Business Manager, Tadcaster Grammar.
