RODILLIAN 6TH FoRM CAFE – HOT DRINKS FOR STUDENTS

The Rodillian Academy in Wakefield has created spaces for their sixth form students to study and socialise. Their cafe area has become an important part of student life. In line with the modern coffee shop culture, students were keen to have a high quality range of coffee and hot chocolate drinks for sale.

The Objective

The cafe area has become extremely popular and the school and caterers decided to upgrade the quality of hot drinks on offer. Another requirement was to make the hot drinks available even when the cafe had closed.

THE SOLUTION – BEAN TO CUP COFFEE MACHINE WITH PAYMENT POD

Livewell Vending were contacted as they have a wide range of ‘bean to cup’ coffee solutions and payment solutions, as well extensive experience working with the schools sector. To fulfil the specified requirements, Livewell installed a Vitro X3 Automatic Coffee Machine along with a side payment unit housing a Nayax Onyx contactless payment reader.

THE OUTCome

The Vitro Coffee Machine uses fresh beans to produce a range of coffee shop quality drinks to meet the varied preferences of students. It also offers premium hot chocolate drinks.

Whilst the cafe is open, students make their selection of coffee and pay at the till. along with any other food or drink chosen. When the cafe is closing for the day, the staff use a secure key to switch from ‘pay at till’ to ‘pay at machine’ enabling students to buy drinks on self serve basis. when the cafe is no longer staffed by the catering team. This innovative flexible solution is made possible by a payment pod that can be activated when necessary on the side of the machine.

The Kings Academy Middlesbrough caters to nearly 1200 students for their secondary education. Recruiting, retaining and motivating a cohesive team of staff team, both teaching and non-teaching, is a high priority for the school.

The Objectives

Given the diverse schedules of the substantial staff team, with varying work hours and break times, the school wanted to provide a high quality self-service hot drinks solution in the staff room. As well as boosting morale, the school wanted to encourage the team to visit the staff room and interact with colleagues.

THE SOLUTION – FRESH BEAN COFFEE & HOT DRINKS

Livewell Vending offers several coffee and hot drink vending solutions tailored to meet the needs of staff rooms. The optimal solution depends on the number of staff members and the variety of drinks desired. Livewell met with the MAT and School stakeholders to review the specifics of the requirement for the staff room at Kings Academy. The chosen solution was a Gaggia La Radiosa fresh bean fresh milk coffee machine.

THE OUTCome

The La Radiosa Gaggia Milano fresh milk hot drink machine was installed, providing a premium range of popular coffee drinks as well as hot chocolate. Fresh milk is supplied to the machine from the fridge unit positioned alongside the coffee machine. A high capacity machine, staff can quickly make their selection via the touch screen and enjoy their drink of choice. With two grinders, the machine can offer all coffee drinks made with decaffeinated beans for those watching their caffeine intake, or for drinks later in the day.

Refreshed To Learn

Allerton Grange Sixth Form is based in a bespoke building in the Sixth Form centre which provides a range of classrooms, workspaces and computer suites and also social spaces. This gives students increased independence to manage their studies and their socialising, including time for refreshments.

The Objectives

Having a range of refreshments available throughout the day was seen as an important aspect of the Sixth Form Centre. This would encourage students to spend time together, building a community in the centre, rather than leaving the space to seek alternative refreshments off-site.

THE SOLUTION – Low-Sugar DRINKS & Snacks Vending

The Centre had room for a range of different vending machines to offer drinks and snacks in a way that could be provided throughout the day, with no outlay from the school for staff resource. As such the Caterer contacted Livewell to review the site and provide a recommendation for them to present to their client.

THE OUTCome

Two types of vending machines were installed at the Sixth Form centre including, a low-sugar soft drink vending machine and another providing a range of snacks. A contactless payment unit was installed to enable payments using ApplePay and all the other payment types that are commonplace in retail today. The drinks and snacks have all been popular and the students see the provision as a benefit for them exclusively.

Secondary School Case Study: Burnage Academy

Studying Is Thirsty Work!

Burnage Academy is an outstanding secondary school for boys, educating just over 900 11-16 year old pupils from Burnage as well as the wider Manchester area. It is one of the top performing schools for boys in the North of England.

The Objectives

Keeping pupils hydrated is an important part of keeping them healthy as wells as enhancing both concentration and performance. Supplying drinks is part of the schools catering provision but it was proving difficult to meet demand in short breaks. As a result there was a problem with long queues at the catering facility, making it difficult to for pupils to get both drinks and food. The school and caterer were looking for ways to meet demand and reduce queues.

THE SOLUTION – HeALTHY DRINKS Vending

Livewell were approached as they had a track record in providing healthy drinks vending in schools. They also had proven experience working with cashless suppliers to integrate their self serve Hydration Station with the schools catering payment system. As well as taking the client through the equipment, Livewell were also able to demonstrate both the health and environmental credentials of the drinks range. In particular, the school were pleased that the bottles would all be made from recycled packaging. With the bottles also being fully recyclable, single use plastic is eliminated from the drinks range available from the vending at the school.

THE OUTCome

Livewell supplied two ‘Hydration Stations’ stocked with a variety of ‘low-sugar’ drinks in a variety of flavours, all in rPET bottles made from recycled plastic. The drinks have been really popular with pupils, who enjoy using the machine and can get an ice cold drink in 15 seconds. Queues at the counter have reduced significantly, and the catering team are now able to serve more meals to pupils during the short breaks.

Smart Vending Provision For Students On The Go!

Bolton College is a further education college with approximately 5000 students and 500 staff. It offers over 800 full and part-time courses across four main centres around Bolton and is the North West’s largest provider of vocational training.

The Objectives

The college had a mixed range of unbranded vending machines and were constantly encountering reliability issues. They undertook a review and then reached out for tenders initially for the vending provision across two campus sites. They required fully managed vending provision and required a strong commercial return.

Office Case Study: Flutter Entertainment Leeds

Modern Office Space with refreshments and great coffee!

Flutter Entertainment which owns brands such Paddy Power, Betfair and Sky Betting & Gaming opened their new Wellington Place office in Leeds in August 2021, The office comprises five floors of unique open plan desk space, with a recreational space on the top floor boasting an outdoor balcony and a gaming station. Into this recreational space Flutter added refreshment vending facilities as well as a premium self-serve automated coffee machines.

The Objectives

Flutter wanted to cultivate an office culture, and create a workspace, where people feel comfortable, entertained, content, and post pandemic, willing to return to the office whether on a full-time or hybrid basis. Part of this goal was providing the workforce with refreshments to enhance their experience when spending time in the office.

THE SOLUTION – CoffeE

In the breakout areas of each floor, Livewell installed a Gaggia La Radiosa bean to cup fresh milk coffee machine. This high quality, high-capacity machine serves a full menu of coffee shop style coffees and hot chocolate drinks, including cold frappé options. With a stylish LED lit appearance, and a colourful touch screen menu, the machines are easy to use. With dual grinders, the machine even has a decaf bean option, welcomed, and preferred by some staff.

  • A range of self-serve vending machines were installed to provide snacks and cold drinks, available to staff 24/7.
  • The automated vending machines are stocked with a range of popular branded products, including a variety of healthier options. The Hydration and Snack Stations sit neatly in alcoves and provide quick and easy acres to refreshments with a contactless payment system, to suit the accelerated post-covid switch away from cash. The Hydration Station contains a variety of chilled drink options to satisfy anybody’s thirst, and all the bottles are made from recycled plastic and are fully recyclable. The Snack Stations provide a multitude of snack options to satisfy that midday craving.

Livewell Vending is delighted to announce that we won both the “Best Regional Operator’ and ‘Best Website’ categories for the Vendies Awards 2023 at the Connaught Rooms, London on 7th June 2023.  Here are some of the key areas of our submissions which determined why we came out on top.

Best Website Submission

Every cloud has a silver lining as they say and although the pandemic hit Livewell Vending hard, it did provide a break from ‘business as usual’ to review many aspects of Livewell’s operation, including our website. So, in late 2020, a detailed brief for the design and build of a new website was put together that would have a completely overhauled appearance, user experience and functionality. The key objectives were to;

  • Grow website visitor numbers
  • Provide an online tool to enable visitors to identify the most suitable vending and coffee equipment for their site
  • Increase new business enquiries
  • Provide useful online resources and communication routes for existing clients
  • Launch an online store for the trade and public sales of refreshment items as well as coffee ingredients and consumables

KEY WEBSITE FEATURES & BENEFITS

There are a number of key features that have made our new website perform extremely well for us. We have increased considerably the visibility of our service provision online and have also provided fast and efficient online services both to existing and prospective clients.

Client-Friendly Menu, Language and Navigation

We gave a lot of thought to the ‘customer journey’ when visiting the site. Whilst in the vending and coffee industry we know lots about equipment types and terminology, it is important to recognise that many of the clients buying our services will not have the same knowledge. Therefore, we have designed a menu system that allows clients to navigate the site easily.

Solution Wizard

With so much talk about AI and automation, we were keen to create an online tool on the website enabling visitors to identify the most suitable vending and coffee equipment for their site. From this objective was born our Solution Wizard, https://www.livewellvending.co.uk/solution-wizard/.

Clients are required to answer a few questions and then our ‘algorithm’ immediately identified the right product(s) for them and provides a proposal on screen, which you can print and save, as well as details by email. This has led to many new leads and business opportunities.

Client support area

We wanted to provide an area with resources for clients, and as such created a dedicated support area, https://www.livewellvending.co.uk/support/. In this area, clients can download manuals, watch ‘how-to’ videos, and also submit fault log requests.

Online store

We wanted to have an online store for buying refreshments and we have been delighted with the appearance, functionality and performance of our store, https://www.livewellvending.co.uk/shop/.

KEY WEBSITE PERFORMANCE STATISTICS

To drive visibility of our website, and visitor numbers, we work continually on Website SEO optimisation as well as regularly adding new relevant content. As such we have seen the following results;

  • a top 10 organic ranking for seven key search terms, and top 3 for three, including a number 1 spot for ‘Vending Machine Supplier’ searches.
  • a 146% increase in website visitor numbers year on year.
  • a 205% increase in the number of contact forms, wizard completions and downloads.

Best Regional Operator Submission

Launched in 2006, Livewell started out with a focus on the school sector providing healthier vending to fill a gap left by the existing operators who removed their machines following the implementation of food and drink standards. Over time Livewell has expanded the region and number of sectors it serves, and the range of products and services it provides. These now include automated and traditional coffee equipment, water coolers, micro markets and a growing range of accessories. Now in its 17th year, Livewell is a well-established business yet still young, dynamic, innovative, hungry and eager to please. With no infrastructure legacy to hold us back, our retail thinking (or Vetail®) combined with a love for all things technology allows us to deliver exciting, automated solutions.

Set out below is what we believe makes us an innovative and successful regional operator.

New Technology

We have been an early adopter of Telemetry technology and we now have remote access to all of our operated vending machines. However, getting the data is one thing, but actually utilising the data to improve service and performance is another. We have done this and the results have been transformational in so many ways;

  • Route efficiency is so much better as we only visit machines at the point that they need restocking (no ‘topping up’).
  • Operator efficiency is better as they have stock already ‘pre-kitted’ on their van so have no need to visit machines to count stock on arrival.
  • Wastage is reduced as vans come back empty each day as the stock taken out each day is driven by the precise requirements transmitted over the cloud.
  • Fuel efficiency (and green miles) is better as routes are optimised, unnecessary visits eliminated, and stock carried is reduced as no ‘spare’ stock is needed (we have reduced the size of our vans as a direct result and these are more fuel efficient)
  • Customer service is improved as we are alerted to machine faults and so do not have to rely on customers to inform us.
  • Higher sales and reduces out of stocks as the data makes it easier for us to refine planograms to suit the sales profile at individual machines.
  • Data transparency is available as clients can have their own log-in to independently view sales and reports for the machines at their sites, improving trust.
  • AND, hot off the press, we have now started two way communication with machines. So, as well as receiving data, we can now transmit data and instructions. On vending machines that have digital pricing (such as the Necta Orchestra) we can change prices and displays remotely. We can also see failed vends and send a credit to the machine for a customer to use immediately!

Staff Benefits, Including Learning And Development

We treat our employees well and this is evidenced by an extremely low staff turnover and some very longstanding members of the team. One key aspect, not always a given, is that operationally the organisation is very well run. As such, the merchandisers trust that their time will be well used, that when on site they will meet satisfied clients, and that their employment is secure as the business performs well. This allows us to be generous with pay and leave, quality uniform and two fully funded social days per year. The whole team clearly defined written KPI’s with quarterly reviews. They have regular training covering health and safety as well as vending equipment. Some have also gained forklift licences and we are training up one operator who aspires to be a technician.

Sustainability

At the core of our sustainability position is the efficiency of our logistics operation. As set out in the technology section, we only travel to sites when needed, and we only take the stock needed. No driving around with loads of stock topping up machines. Also key is our product sourcing where we will prioritise local where possible and also, with PET bottles, source those that are made from recycled plastic. These can be recycled again making them very sustainable. Also, all plastic and cardboard waste at our premises is recycled. Challenges

We have had many! The pandemic was a huge challenge. In March 2020, 95% of our vending locations were closed. One problem (amongst many) was product wastage. Fortunately, we were able to use Telemetry to identify and quantify machine stock and gather this back to the depot. We then launched ‘Livewell Direct’ selling direct to consumers via a quickly launched Shopify site, as well as getting Amazon Prime status (not easy). We also donated some stock to charities. More generally we are often faced with technology challenges and, as our suppliers know, we are resourceful and determined, to make new tech work, despite the frustrations at times!

Preventative Maintenance

With a continuous investment in new equipment, and always taking extended warranties, we have well-maintained machines that perform well. We keep weekly stats on machine operational status, enabled by our telemetry system. Also, with an August year-end, and a quieter trading period, we do a full audit and deep clean of vending and coffee machines annually.

Website And Communication

We believe our website is one of the best amongst regional operators. This is in terms of organic search performance, ease of navigation for visitors, quality and regularity of new content and support section for clients with instructions, videos and an inline fault reporting log. We joined the AVA last year and believe that the communication we put out online on our website, press and social media is high quality, making a positive contribution to our industry.

The Vending & Automated Retail Association (AVA) is a non-profit organisation based in Leeds that represents the automated 24-hour food and beverage industry in the UK. The goal of the AVA is to champion industry-wide quality, innovation and consumer satisfaction. The AVA has acted as the voice of the industry for over 90 years, meeting the needs of a modern 24/7 society.

What is The Vending & Automated Retail Association (AVA)?

The AVA was a founding member of the European Vending Association and maintain close links with vending and automated retail associations in France, Germany and Italy. Together, these associations represent 80% of the European market. Through AVA we receive support to make high-quality, innovative food and beverage services even more accessible, and they can provide collaboration opportunities and provide assistance in developing best practices.

Mark of Trust

The AVA logo is a mark of quality and assurance for all of our clients, as they are dedicated to providing guidance, training, and regular audits in order to ensure that we maintain a high service fit for clients and customers. AVA Members sign up to maintain their Client Services to a strict Customer Charter and agree to comply with the AVA Code of Conduct. Both Members and their Clients can make use of support services with the AVA ensuring that problems or queries can be quickly resolved.

SMART technology allows us to fit personal computers in our pockets so we can Google, tweet, or game on the go. Your phone doesn’t just know your friends’ number, it knows who all of your friends are, what they like to do, eat, watch, or play, and where they often spend their time.

Your phone can do this because it has access to where you are all of the time, what your search history looks like, and from the data that you said that one website could use for marketing purposes that one time.

Your car knows where you should park because of in-built sensors that respond to ultrasonic waves.

SMART technology uses artificial intelligence, machine learning, and/or data analysis to enhance an inanimate object into something more responsive.

How could you possibly improve upon a vending machine? Vending machines have a fairly simple task with a fairly simple purpose. You give it money. It gives you snack. Right?

WRONG!

Ever had a vending machine eat your coin? Is it out of your favourite drink? Your favourite snack? That’s not okay in our book.

It would be pretty great if we could develop a solution to coins being stuck (we have), or if we could track when we’re running low on our favourite snacks and drinks (we can).

There are different types of telemetry for different sectors or particular situations. We use telemetry to measure what’s popular. 

We monitor sales and performance directly from our desk, using our real-time data collection system. Our vending stations are tied directly to the cloud which gives us real-time instant access to sales, stock, and performance data. Environmentally Conscious Vending

At Livewell, we try to be as eco-conscious as possible. We know that concerns about single-use plastic are at the forefront of everyone’s mind, so we wanted to let you know that we are doing everything we can to make our services as eco-friendly as possible. 

When you hear the word ‘plastic’, it might conjure up images in your mind of an ocean filled with single-use bottles and packets. But you can rest assured , all the bottles sourced by Livewell are made from recycled material and are recyclable.

rPET stands for recycled polyethylene tetraphyte, which is the fourth most common plastic resin used in the world. The plastic content in rPET has been recycled, so the bottles that we use were produced without compromising any natural resources, reducing oil usage and greenhouse gas emissions associated with virgin plastic production.

rPET is derived from PET (without the little ‘R’). Like most other plastics it is made from a combination of oil and petrochemicals. However, PET is part of the thermoplastics’ family, which means they can be heated, melted and cooled into many different shapes and sizes. Those PET plastics then get transformed into the recycled plastic you see in your Livewell Vending machines, and from there they can be recycled again and again and again.

Finding a new life for these already-made products is a way to move forward and create a use for plastic products whilst reducing the amount of dangerous chemicals. On top of using products made with recycled materials, it’s important that we’re aware of our purchases and aware of how we dispose this plastic material as well.

Alongside our rPET products, Livewell try to reduce waste through recycling arrangement in place on our premises for all plastic, cardboard, and combustible materials. Where possible we source our equipment and refreshments locally. For example, our Coffee Vending machines and Water Coolers are all manufactured in the UK. And for our refreshments, we are pleased to source our bottled water locally from Harrogate Spring Water, reducing food miles. The telemetry system at the core of Livewell’s operated allows remote access to our vending machines via the cloud, which means we only make a journey to visit sites when needed and we only carry the stock on our vans that is required.

We want to implement change at every level of our organisation.
